How to switch venue booking software without losing a lead.

Switching venue booking software takes most venues one to two weeks: export your data, rebuild menus and templates, move upcoming events and open payments, point your inquiry form at the new system, then train the team in one session.

Before you start

Pick a switch date just after your busiest season. Fewer events will be mid-contract, and your team will have time to learn the new system before the next rush.

List what you need to move. For most venues that is contacts, upcoming events with their proposals and payment schedules, menus and packages, document templates, and your inquiry form.

The switch, in order

  1. Export. Download contacts, events and payments from your current software as spreadsheets. Save PDF copies of signed contracts.
  2. Rebuild menus and packages. These drive every proposal, so set them up first, with minimums, service charges and tax.
  3. Move upcoming events. Import every event that hasn't happened yet, with its deposit schedule and balance due. Past events can be archived.
  4. Reconnect payments. Confirm open balances and future reminders in the new system before you turn off the old one.
  5. Switch the inquiry form. Replace the form on your website and update listing sites so new leads go to the new pipeline.
  6. Train once, then go live. One session covers the pipeline, proposals and payments. Keep the old system read-only for a month.

What not to lose

  • Open inquiries from the last 30 days. Reply to them from the new system.
  • Payment schedules on booked events. Check every balance and due date.
  • Signed contracts. Attach the PDF to each imported event.
