Terms of Service
Last updated: November 6, 2026
These terms apply when you or the venue you represent ("you") use the VenueClerk website and platform. By creating an account or using the service, you agree to them. If you accept on behalf of a venue or company, you confirm that you have the authority to do so.
The service
VenueClerk is venue booking and event management software with AI. Features depend on your plan and any add-ons. We may improve or change features over time, and will not knowingly remove a core feature of your plan without reasonable notice.
Your account
You must give accurate information and keep your login details secure. You are responsible for what happens under your account, including the actions of the team members you invite. Tell us straight away if you suspect unauthorized access.
Free trial
The free trial lasts 14 days, gives you full access and needs no credit card. At the end of the trial, you need a paid plan to keep using the service.
Plans and payment
- Plans are charged per venue, in advance, on a monthly or annual basis. Prices are listed on our pricing page and are in US dollars.
- AI add-ons are charged per venue, month to month. The AI Voice Receptionist also has usage charges, as shown on the pricing page.
- Prices do not include taxes, which we add where required.
- We may change prices with at least 30 days' notice. New prices apply from your next renewal.
Payment processing
Payments from your clients are processed by Stripe, and you must accept Stripe's terms to use this feature. VenueClerk adds a flat 0.3% fee to card payments, on top of Stripe's standard processing rates. ACH payments carry no VenueClerk fee.
Cancellation
- Monthly plans can be canceled at any time and stay active until the end of the period you have paid for.
- Annual plans run until the end of the term.
Your data
Your menus, prices, client records and other content belong to you. You give us permission to host and process them only as needed to provide and support the service. You can export your reports at any time. You are responsible for having the right to use the data you add, and for meeting the privacy and marketing laws that apply to how you contact your clients. Our Privacy Policy explains how we handle personal data.
AI features
The AI works from the prices, menus and policies in your settings and can still make mistakes. You choose how much it does on its own, and you are responsible for keeping your settings accurate and for the replies, proposals and contracts sent from your account, including those sent automatically.
Phone answering
If you use the AI Voice Receptionist, you are responsible for meeting the laws that apply to your calls, including giving any notice or getting any consent needed to use AI on calls or to record or transcribe them.
Acceptable use
You agree not to:
- Use the service for anything illegal, fraudulent or harmful, or to send spam.
- Try to break, overload or gain unauthorized access to the service.
- Copy, resell or reverse engineer the service, or use it to build a competing product.
We may suspend or close an account that breaks these terms, and will give notice where reasonably possible.
Third-party tools
If you connect other tools, such as a calendar or accounting software, their own terms apply. We are not responsible for those tools, or for changes to them that affect a connection.
Our intellectual property
VenueClerk, including its software, design and brand, belongs to us. We give you a limited, non-transferable right to use the service during your subscription.
Availability and disclaimer
We work to keep the service reliable, but cannot promise that it will be uninterrupted or error-free. To the extent the law allows, the service is provided "as is", without warranties of any kind. Revenue estimates and examples on our website are illustrations, not guarantees of results.
Limit of liability
To the extent the law allows, neither side is liable for indirect or consequential losses, including lost profits, lost bookings or lost data. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law.
Ending the service
You can stop using the service at any time. When an account closes, your right to use the service ends. Please export anything you need first, as we delete or anonymize account data as described in our Privacy Policy.
Governing law
These terms are governed by the laws of the place where VenueClerk is registered, and its courts will hear any dispute, unless the law where you are based gives you a right to bring a claim there.
Changes to these terms
We may update these terms from time to time. We will change the date above and, for significant changes, let account holders know by email or in the platform. If you keep using the service after a change takes effect, the new terms apply.
